1. Introduction

ClickScale (“ClickScale,” “we,” “us”) is an all-in-one growth platform operated by OutboundPro Inc. It helps businesses create and manage advertising, capture and manage leads, follow up with AI voice and SMS, answer calls with an AI receptionist, manage customers in a CRM, book appointments, and receive sales and technology coaching.

2. Scope of This Privacy Policy

This policy covers:

  • The ClickScale platform and application, including its integrations with third-party platforms such as Meta, used by our business customers.
  • Our website at clickscale.ai and our own sales, marketing and support activities.

When our customers use ClickScale to store and communicate with their own leads and customers, the customer generally decides how that information is used, and ClickScale processes it on the customer’s behalf. Third-party platforms we connect to (such as Meta) have their own privacy policies.

3. Information We Collect

Depending on how you interact with ClickScale, we may collect:

  • Contact and business details — name, email, phone number, company and business information.
  • Account information — login details, settings, and configuration of ClickScale features.
  • Demo and sales information — demo requests, booking details, contact form submissions and sales conversations.
  • Connected platform data — information from integrations you authorize, such as Meta (see Section 4).
  • Customer data — leads, contacts and CRM records our customers provide or import (see Section 5).
  • Communications data — calls, SMS conversations, transcripts and AI agent interactions (see Section 6).
  • Technical and usage data — IP address, device and browser information, referring page, website and app activity, cookies and similar identifiers, and campaign attribution information.

4. Meta Platform Data

When a customer chooses to connect Meta, Facebook or Instagram business assets to ClickScale, we may receive or process information that Meta makes available under the permissions that customer grants.

Depending on the permissions you grant and the ClickScale features you use, this may include:

  • Meta user and account identifiers
  • Business account information
  • Facebook Pages
  • Instagram business or professional account information
  • Ad accounts, campaigns, ad sets and ads
  • Advertising creative and campaign settings
  • Campaign performance information
  • Lead form configuration
  • Lead information generated through authorized Meta lead-generation campaigns
  • Other information made available through the Meta APIs you authorize

We use Meta Platform Data to:

  • Connect your authorized Meta business assets
  • Create and manage advertising campaigns
  • Generate or manage campaign creative
  • Display campaign information inside ClickScale
  • Measure campaign performance
  • Process leads generated by your campaigns
  • Trigger follow-up workflows you have authorized
  • Improve campaign management functionality
  • Provide customer support
  • Maintain security and troubleshoot integrations

ClickScale never asks for your Facebook or Instagram password. Connections are made through Meta’s own authorization process, and you can revoke access at any time (see Section 15). We use Meta Platform Data only as permitted by Meta’s platform terms and the permissions you grant.

5. Leads, CRM and Customer Data

Customers may provide or import information about their own prospects and customers, such as names, email addresses, phone numbers, lead source, form responses, appointment information, CRM notes, communication history, opportunity or pipeline status, and other information shared during a customer interaction.

This information is used to provide CRM functionality, lead management, follow-up, scheduling, customer communications, AI-assisted communications, reporting and automations.

ClickScale customers are responsible for ensuring they have the appropriate authority, permissions or legal basis to provide and use their customers’ information through ClickScale.

6. AI Voice, SMS and Communications

ClickScale may process information related to phone calls, SMS and text conversations, call and conversation transcripts, AI agent interactions, appointment scheduling, call outcomes, contact information, and customer instructions and configuration.

This is processed to respond to inquiries, follow up with and qualify leads, schedule appointments, provide customer service, route conversations, maintain CRM records, and improve or troubleshoot the service.

Calls and other communications may be recorded, transcribed or analyzed when that feature is enabled by the applicable customer and where permitted by law. ClickScale customers are responsible for complying with applicable consent, telemarketing, calling and messaging laws when configuring communications.

7. How We Use Information

Subject to applicable law and consent requirements, we use information to:

  • Provide, operate, maintain and improve the ClickScale platform
  • Respond to demo requests and provide information about ClickScale
  • Carry out sales follow-up and customer support
  • Run analytics and optimize our website and products
  • Measure advertising, attribute conversions and run marketing and remarketing campaigns
  • Protect the security and integrity of our services and prevent fraud
  • Comply with legal obligations and enforce our agreements

8. How We Share Information

We share information only as described here:

  • Service providers who help us operate ClickScale, under agreements that limit their use of the information (see Section 10).
  • Customer-directed processing — when a customer instructs ClickScale to send data somewhere, such as publishing campaigns to Meta or messaging their leads.
  • Advertising and analytics technologies that may collect information on our website (see Section 9).
  • Business transfers and legal requirements (see Section 19).

Some privacy laws treat certain uses of advertising and analytics technologies as a “sale” or “sharing” of personal information, or as “targeted advertising.” Where those laws apply to you, you may opt out by contacting us at hello@clickscale.ai, and we will honor applicable browser-based opt-out signals where required by law.

9. Cookies and Advertising Technologies

We may use cookies, pixels, tags, analytics tools and advertising measurement technologies for website functionality, analytics, conversion tracking, attribution, advertising measurement, remarketing, and understanding how visitors use our site.

Currently, our website embeds a third-party appointment scheduling widget (provided by LeadConnector) so you can book a demo, and loads web fonts from Google Fonts. These providers may receive technical information such as your IP address and browser details, and the scheduling widget receives the details you enter when booking.

We may add other legitimate analytics or advertising providers in the future, and will update this policy when we do. You can control cookies through your browser settings.

10. Service Providers

We use service providers to operate the platform, which may include providers of cloud hosting, databases, communications, AI technology, CRM infrastructure, advertising platforms, analytics, payment processing, authentication, customer support, email delivery, SMS and telecommunications, and security.

Service providers should only receive the information reasonably necessary to perform services on our behalf, subject to applicable agreements and legal requirements.

11. Data Retention

We keep information only for as long as reasonably necessary to provide the service, maintain customer accounts, fulfill contractual obligations, maintain security, resolve disputes, and meet legal or regulatory obligations.

Meta Platform Data is deleted when it is no longer necessary for the purpose it was obtained, when required by Meta’s platform requirements, when the applicable customer or user requests deletion, or when the integration is disconnected and the data is no longer needed. Where we must legally keep information, we keep it only as required for that purpose.

12. Data Security

We use administrative, technical and organizational safeguards designed to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If you believe there is a security issue, contact us at hello@clickscale.ai.

13. Your Privacy Rights

Depending on where you live (for example, Canada, certain U.S. states, the European Economic Area or the United Kingdom), you may have some or all of the following rights:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Delete your information
  • Withdraw consent where processing is based on consent
  • Object to or restrict certain processing
  • Receive a portable copy of your information, where applicable
  • Opt out of marketing, and of targeted advertising or “sale/sharing” where applicable
  • Make cookie and similar privacy choices

To exercise these rights, email hello@clickscale.ai. We may need to verify your request. You may also have the right to complain to your local privacy regulator.

14. Your Data Deletion Rights

Anyone, in any region, can request deletion of personal information associated with ClickScale — no login required.

Email hello@clickscale.ai with the subject “Data Deletion Request,” and include enough information for us to identify your account or integration. We may verify your request, then delete or de-identify the applicable information unless we are required or permitted by law to keep it.

15. Disconnecting Your Meta Account

You can revoke ClickScale’s access through your Meta account settings, and/or disconnect the Meta integration within ClickScale where that option is available.

Disconnecting stops ClickScale from accessing new data through that authorization. Information we already processed may need to be deleted separately using the data deletion process. Disconnecting may stop related ClickScale features from working.

16. Marketing Communications

We may send marketing communications where permitted by applicable law. You can opt out at any time:

  • Email: use the unsubscribe link in any marketing email.
  • SMS: reply STOP where supported, or follow the opt-out instructions in the message.
  • Directly: email hello@clickscale.ai.

We may still send operational or service messages needed to run your account or provide services you requested.

17. International Data Transfers

ClickScale operates primarily from Canada and serves customers in Canada, the United States and elsewhere. We and our service providers may process information outside your province, state or country, where it may be subject to the laws of those jurisdictions, including lawful access by authorities there.

18. Children's Privacy

ClickScale is a business platform intended for business users. It is not directed to children, and we do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

19. Business Transfers and Legal Requirements

We may disclose information when reasonably necessary to comply with law or legal process, investigate fraud or security issues, enforce our agreements, or protect the rights, property and safety of ClickScale, our customers or others. If we are involved in a merger, acquisition, financing, reorganization or sale of assets, information may be transferred as part of that transaction, subject to this policy.

20. Changes to This Privacy Policy

We may update this policy as our services change. We will post the updated version here with a new “Last Updated” date and, where required, notify you of material changes.
